    We are currently seeking a Temporary, Full-time Administrative Specialist starting in November 2018 through March 2019.


    At just 10 blocks from the Capitol, we're close to downtown and campus. We're also right on the bus route, close to bike paths, and parking in our lots is free!



    Under the direction of the Administrative Services Manager / Executive Assistant, the Administrative Specialist will perform various duties having to do with incoming and outgoing mail.  This includes processing mail when it arrives in the mail room, scanning envelopes for opening, and sorting mail into organized groups for distribution.


    Other duties and responsibilities include:

    • Delivery of customer documentation between departments
    • Process various mailings
    • Process monthly birthday cards for all employees
    • Fold and mail daily invoices and weekly checks
    • Make popcorn every Tuesday
    • Distribute Quarterly and Monthly Sales Reports
    • Release, fax, email, and/or mail acknowledgements daily
    • Periodically transport mail and small packages between Madison locations
    • Process large amount of Excel and Goldmine (CRM) projects for various departments
    • Backup Receptionist and Administrative Assistant creating customer correspondence
    • Maintain and keep records of copy meters, metering machine, postage stamps, etc. and keep mailing room stocked and orderly and see that equipment is serviced and repaired when necessary
    • Classify and index materials to be filed in accordance with Company imaging systems, set up new files and arrangements, as well as disposing of documents after scanning according to company policy
    • Answer telephone calls and emails from in-office personnel requesting imaging files
    • Maintain product literature in the literature cabinet
    • Maintain small parts inventory and send out parts as requested by customer service departments


    What special qualifications will you bring to this position?  The following knowledge, skills, and abilities will serve beneficial to you in being successful in the Administrative Specialist role.

    • Associates degree in a business field or six to 12 months related training
    • High level of punctuality, dependability, trust, confidence, and high integrity required
    • Ability to stand on feet and be mobile for long periods of time
    • Solid knowledge of Microsoft Office applications (Word, Excel, Access, PowerPoint, Outlook)
    • Data entry 10-key ability
    • Ability to complete projects with limited instructions in a given time frame
    • Excellent written and oral communication skills, with solid understanding of English language  
    • Ability to analyze information skillfully
    • Exhibits sound and accurate judgment
    • Adaptability - Able to deal with frequent interruptions, change, delays, or unexpected events
    • Ability to multi-task and stay well-organized
    • Good organizational skills
    • Customer service attitude; strives for quality work
    • Ability to “think outside the box” and implement efficiencies
    • Responds to customer needs; meets commitments
    • A collaborative team player
    • AS400 experience a plus
